Personal Assistant to Managing Director - Suffolk - £20,000 pa
Our clients are one of the largest independent Estate Agents along the Suffolk Heritage Coastline est. in 1833 and recognised by many as the clear market leader.
Our client is constantly looking to evolve and grow as a business and need professional, dynamic and committed people to play their part in helping them maintain and build on their market leading status.
This role as the Personal Assistant to the MD is diverse, challenging and rewarding. The successful candidate will play a pivotal role within our internal infrastructure supporting the MD and all other employees across the four-branch network.
We are not seeking someone who perceives their role as ‘just a job’. Instead suitable candidates must acknowledge the importance of their position and have a strong desire to deliver results at the highest level within it whilst having the company’s best interests at heart.
Preparing and retaining correspondence for new candidates joining the company whilst following internal procedures associated with the employment processes. This includes maintaining employee’s records during their employment such as; remuneration package, working location and general terms and conditions.
Every week, month and quarter the PA will need to produce statistical information which needs to be collated and processed correctly. Good mathematical capabilities would be preferred however, just the ability to make sense of basic figure work and record it accurately onto internal spreadsheets would be adequate.
The PA will be responsible for inducting new staff and ensuring staff are up to date with the internal training that is on offer throughout their employment.
The PA will filter those that need to be brought to the MD’s attention and deal with the remainder on his behalf. Some are from internal members of staff whilst others come from external clients and service providers.
Arranging internal and external meetings, organising interviews, booking meeting rooms and refreshments where considered appropriate and coordinating some travel.
Skills and attributes required:
·Capable of working on your own initiative within an organised environment
·Strong computer skills, previous use of Microsoft Office packages (Will be required to learn the ins and outs of the internal software)
·Produce well written, professional and grammatically correct correspondence
·Creative, with some marketing knowledge would be an advantage
·Interact efficiently, professional and politely both with work colleagues, external customers and third parties
·Outgoing, confident, professional and very well presented.
·Organised with a very strong attention to detail
·A proactive ‘can do’ attitude, the glass is always half full rather than half empty!
·Conscientious, reliable and trustworthy (confidentiality is key)
·A professional telephone manner and strong communication skills.
·Take pride in all that you do with a genuine desire to provide effective support to the MD and the team
·Some previous working experience of basic HR functionality would be advantageous but not essential
Working from the administration office based in Leiston with occasional work at the other branches.
Hours 9.00am -5.30pm Monday to Friday 5 days a week.
A basic salary circa £20,000 per annum (may increase for the right candidate).
28 days annual holiday including bank holidays.
